Summary

Job Title: Special Projects Coordinator

Experience Required

  • Post-Secondary degree or diploma in Business Administration, Social Sciences and/or minimum 3 years related experience.
  • Excellent written, verbal, and interpersonal communication skills
  • Strong project and time management skills.
  • Advanced abilities in the use of MS Office Suite including: Word, Excel, and PowerPoint.

Location: Vancouver – Hybrid (remote and in office)
Reports to: Senior Manager, Programs and Stakeholder Relations and Special Advisor for Programs
Contract Duration: Various contract periods


Purpose

The Project Coordinator plays a key role in the planning and implementation of special projects at IEC-BC and supports department programs and initiatives, working closely with the Senior Manager, Special Advisor, Programs  and other team members. The scope of work includes program coordination and administration, internal communications, research, and project supports as needed

Responsibilities (include, but not limited to):

Project Coordination and Program Support Implementation

  • Plans and coordinates projects, including internal team communications, tracking, and monitoring project progress, coordinating meetings and overall logistics.
  • Help prepare reports for team members, funders, and other project partners.
  • Develop workplans to meet project objectives and deliverables and to improve/expand project to meet emerging needs and arising opportunities.
  • Track project data and develop team, briefing presentations and funder reports as needed.

Presentations & Facilitation

  • Coordinate and support events, web-based training, workshops, seminars, meetings and/or conferences; ensure learning objectives are clear and measurable; coordinate logistics, scheduling and staff and participant communication.
  • Identifies and develops opportunities to enhance the capacity of project and community partners through information sessions, workshops, networking, or other opportunities.

Research & Communications

  • Coordinates department team projects and partner communications activities.
  • Source and compile relevant statistics, information data for use in various reports and proposals.

Administration

  • Maintain records and creates reports or proposals.
  • Track and report on project statistics and outcomes.
  • Provide progress reports to senior management.
  • Input and update contacts through the Customer Relationship Management (CRM) tool as needed.
  • Support special projects and initiatives as needed.

Other Tasks

  • Perform other related tasks as assigned by the Senior Manager or Special Advisor, Programs..

Job Requirements

Education

  • Post-Secondary degree or diploma in Business Administration, Social Sciences and/or minimum 3 years related experience.

Core Competencies

  • Excellent written, verbal, and interpersonal communication skills.
  • Excellent attention to detail and accuracy.
  • Strong project and time management skills.
  • Experienced public speaker and facilitator.
  • Stakeholder relations management.
  • Advanced abilities in the use of MS Office Suite including: Word, Excel, and PowerPoint.
  • Experience using customer relationship management systems e.g. Dynamics.
  • A team player who is willing to support other team members as needed.

Desired Characteristics

  • Experience with and passion for the work of the non-profit sector.
  • Familiar with immigration policies and understanding of immigrant settlement.
  • Strong team leadership skills.
