Job Description

We’re seeking a part-time Office Administrator to support the Founder (Jared Falk) at Musora Media and a Real Estate Holding Company.

This role is for you if you’re:

Who we are (Musora Media)

At Musora Media, we make playing the songs you love easier by combining great teachers, organized lessons, and practical technology with student-centred communities.

Jared Falk founded his first online lesson community in 2003 and has been steadily growing online education communities since then. Over time Musora Media has become a multi-faceted business that includes online media properties, digital and physical products, and an online education platform with over 180,000 students.

While we love all instruments, we currently have communities for drums (Drumeo), piano (Pianote), guitar (Guitareo) and voice (Singeo) within our online membership.

Underpinning all of our efforts are two simple goals:

  2. Keep them playing longer

As a team member, you will be responsible for helping us create new musicians and developing a culture of continuous learning and self-improvement.

Position Overview 

The Office Administrator primarily manages a Strata Corporation, a real estate investment company and assists the founder with research and operations.


Key Duties:

Real Estate Holding Company and Strata Management:

  • Support the Founder by designing, proposing, and managing all workflows and assisting in managing a Strata Corporation, a Real Estate Investment company, and the Founder for day-to-day operations.
  • Select and set up accounting software with automated approval technology and migrate existing books from Sage Intacct to selected software.
  • Set up banking with approval technology.
  • Accounts payable and receivable / rent collection. 
  • Managing tenant relations, complaints, and enforcing leases.
  • Payroll & source deductions remittances.
  • GST, PST  & Corporate tax.
  • Monthly Financial Statement reporting, including full balance sheet verification/reconciliations.
  • Annual Financial Statements, including a statement of change in cash position and full balance sheet verification/reconciliations.
  • Annual amortization reporting and supporting documentation (done monthly).
  • Managing and preparing purchase agreements for additional real estate,, performing property searches, property purchase agreements, and liaison with lawyers/banks 
  • Accounting for new real estate purchases as needed (splitting costs between land and building, legal fees, etc.)
  • Creating operating budgets and capital project budgets highlighting possible issues in advance.
  • Managing & coordinating capital projects, including working with owners, contractors, vendors, and tenants.
  • Maintain accurate arms-length commercial leases with all tenants.
  • Ensure adequate tenant and liability insurance *review and alter current policies as needed.
  • Ensuring properties comply with local federal, provincial, and local laws and regulations, including building codes.
  • Annual strata fee payment and special levies and related prepaid/accruals.
  • Determining, invoicing and collecting annual strata fees and special assessments.
  • Tax remittance.
  • Responding to owner and tenant inquiries.
  • Organize strata meetings & maintain accurate records of strata decisions and actions.
  • Organize and manage the maintenance of common areas (i.e. snow removal, garbage etc., electrical room).
  • Organize and manage capital projects as approved by Strata. 
  • Ensure adequate building and liability insurance for common property *review and alter current policies as needed.

Executive Assistant

  • Assist with research on new capital projects. (ie. budgeting, proformas)
  • Assist with running meetings and day-to-day operations

Key Qualifications:

Education/Experience

  • Proficiency in the English language (written and verbal)
  • 5 + years of experience in general office administration, accounting, project management or related roles. 
  • Knowledge and experience in general bookkeeping and accounting.
  • Knowledge and experience working with a strata/strata corporation or willing to learn the legislation involved with strata management in British Columbia. You will become the expert!

Work Conditions:

  • Environment: A normal office environment. Since this role is part-time, the proposed schedule could look something like this:
    • Two Full Work Days (8 AM to 4 PM) per week, with a possible Third Full or Half day, or Four Half Days per week. 
    • No matter your regular work schedule, this role may occasionally work outside of normal business hours, so flexibility in your work schedule is important.
    • Flexibility to work in a hybrid role (mixture of onsite and remote work).
